Vehicles & trailers
Full records, documents, due dates, automatic status (active, faulty, sold) and history per unit.
Vehicle service & fleet management
Vehicles, trailers, parts, workshop jobs and documents — in one web application, installed on your server. Built on the real flow of a workshop that works daily on more than 140 vehicles.
No more hunting for a vehicle record in a folder, a note in Excel and an invoice in email.
Stock, costs and vehicle status update automatically, following rules written once.
The app and database live on the company server. Backups run automatically and are verified.
Modules
Every module writes to the same database. A part consumed on a vehicle appears immediately in stock, in the job cost and in the monthly report. Trip planning and GPS are in development and are enabled separately.
Full records, documents, due dates, automatic status (active, faulty, sold) and history per unit.
Catalogue with sale price and cost, last receipt price, movements, FIFO and minimum-stock alerts.
Oils by type and supplier, receipts and consumption, linked directly to the parts on consumption notes.
Parts and oil per vehicle and mechanic, optional job order, on-demand PDF and corrections with history.
Labour and parts at their real cost, job status and automatic switch of the vehicle into service.
Day and mechanic calendar with counters, status colours and a waiting-room screen for the workshop.
XML/PDF import, product matching, cost updates and direct links to stock movements.
Reports from inventory, a job order or the vehicle record, with badges in the list and history per trailer.
Records, scanned documents, handover sheets, fuel cards and separate roles per module.
Inspection, insurance, CASCO and services — notifications before expiry, per vehicle and owner.
Foreign-currency invoices, daily exchange rate, RON total, manual override and reports per supplier and period.
Backups through the SQLite API, database check at startup and a documented recovery procedure.
Automated flow
Receipt, consumption and estimate are the same chain. Every step leaves a trace in stock and in the job cost — no parallel spreadsheets.
NIR or XML/PDF invoice. Products enter stock at their real cost, with sale price kept separate.
Parts and oil leave stock at cost, linked to the vehicle, the mechanic and the open job.
Labour and parts on the same job, with total and status. The vehicle switches to service automatically.
The note, estimate and handover form are generated as PDF, and the cost stays in the vehicle history.
Workshop
Parts enter the job at their stock cost, not an estimate. When the job closes you know exactly what the vehicle consumed and what the work cost.
Stock & costs
Receipts update the cost, consumption draws it down, and corrections stay visible in the history. No negative stock, no invented costs.
Security & reliability
Not just “it works”. We went through a security audit, concurrency testing and recovery after database corruption — and wrote the procedures down.
CSRF protection via Origin/Referer checks, HttpOnly sessions and roles reloaded from the database on every request.
Parameterised queries and column allow-lists for any field that reaches ORDER BY or UPDATE.
Explicit escaping in templates, XML parser with entities disabled and files identified only by UUID.
Snapshots through the SQLite API, WAL included and integrity-checked — not a file copy that may be incomplete.
Check at startup with a loud log message, plus a recovery script that keeps the original and reports what was lost.
Reconnects with backoff on transient storage errors, so a moment of slow I/O does not stop the application.
Technology
We choose a stable, easy-to-maintain stack so the application can run for years on a modest server.
No unnecessary microservices, no mandatory cloud dependencies. One application, one database, clear backups.
Direction
The service and fleet management side is in production. Trip planning and GPS are in development. The rest are directions, not marketing promises.
Board per truck, unassigned trips, routes per trip and geofence alerts. Enabled separately once the module is stable.
Clients see job status and documents without emails and phone calls.
Photos at reception, signature on the note and confirmations straight from a tablet, next to the vehicle.
Several companies in the same installation, with complete data isolation.
Connectors for accounting software and programmatic access for partners.
FAQ
Yes. It is a self-hosted application: it runs on a company Linux server with a local database. Day-to-day operation does not depend on an external cloud service.
The production instance manages more than 140 vehicles and 1,700 stock movements. The architecture is sized for a few hundred vehicles on a single installation.
Yes, on the local network. Internet is only needed for external features: the BNR exchange rate, maps and email alerts.
Yes. We import vehicles, parts, suppliers and clients from Excel/CSV. For stock and invoice history we decide together what is worth migrating and in which order.
Only the users you create, with separate roles and permissions per module. Accounts can be deactivated instantly, and active sessions are closed automatically.
For standard modules, 1–3 weeks: installation, data import, configuration and training. Specific features are planned separately, in short steps.
Not yet. The service, stock and document side is in production and we consider it stable. Trip planning, GPS and transport order interpretation are in development — we do not present them as delivered features. If that area interests you, tell us: we will test it together when it is ready.
For now we discuss directly, depending on fleet size and modules used. There is no public price list — and no hidden per-user fees.
